Summary

Job Title:                  Order Entry Specialist

Reports To:              Customer Service Manager

FLSA Status:           Non-Exempt

Department:            Customer Service

 

Summary: Responsible for processing incoming orders, ensuring accuracy and efficiency in data entry.

 

Essential Duties and Responsibilities include the following.  Other duties may be assigned. 

 

  • Process orders in a timely and efficient manner to meet customer delivery expectations.
  • Acknowledge quotes, calculate carrier costs and determine carrier.
  • Establish ship dates depending upon inventory and production workload.
  • Contact the customers if clarifications are needed.
  • Enter information into PaceJet for the customer’s carrier account.
  • Calculate commission and enter the information for the sales representative’s location.
  • Maintain and update our customer database.
  • Document all orders on the Order Entry Identification Issue spreadsheet with their order number, quoted/cataloged, along with any issues incurred during write-up process, and date when entered.
  • Set up new dealers.
  • Attend various meetings and trainings as required.
  • Communicate essential information to those affected.

 

Requirements:

  • High School Diploma required, 2-year degree preferred.
  • Previous customer service experience is preferred.
  • Must be proficient with Microsoft Word & Excel.  Prior experience with ERP software a plus.
  • Excellent attention to detail and accuracy in data entry.
  • Strong organizational and time-management skills to manage multiple priorities and tasks simultaneously.
  • Strong communication and customer service skills.
  • Ability to work independently as well as part of a team.

Education/Experience:

High School Diploma.  Minimum six months to one year customer service experience.  Computer knowledge and the ability to work in Excel spreadsheets.

 

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

 

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

Computer Skills:

To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Inventory software and Order processing systems.
